What makes a GST purchase order legally sound?
A purchase order is the foundation of your procurement process. For GST compliance in India, it must reference the correct GSTIN for both parties, specify the HSN/SAC codes, indicate the applicable GST rate (CGST+SGST or IGST), and reflect agreed payment terms.
- Buyer's GSTIN, name & billing address
- Supplier's GSTIN, name & address
- Unique PO number & order date
- Expected delivery date
- HSN/SAC codes per line item
- CGST+SGST (intra-state) or IGST (inter-state)
- Payment terms & dispatch mode
- Authorised signatory details
Intra-state vs Inter-state: choosing correctly
If your business (buyer) and the supplier are registered in the same state, the supply is intra-state — CGST and SGST apply, each at half the GST rate. If they are in different states, IGST applies at the full rate.
Our tool auto-detects the correct tax mode when you select both states, but you can manually override it. Getting this right matters — a wrong tax type on a PO can cause mismatches at the supplier's invoice stage, leading to ITC claim issues.
