What is AD Code Registration?

An AD Code, short for Authorized Dealer Code, is a distinct 14-digit number issued by a bank authorized by the Reserve Bank of India (RBI) to handle foreign exchange transactions. Such banks are known as Authorised Dealers. This code uniquely identifies businesses engaged in import and export operations.

This code must be formally submitted to the Indian Customs Electronic Gateway (ICEGATE) at the designated port, a crucial step known as AD Code registration for any business involved in international trade within India.

Why is AD Code Registration Required?

AD Code registration is a must for several important reasons:

  • Customs Clearance: Without a registered AD Code, you cannot create a shipping bill. This bill is essential for customs to clear your goods for export. This registration confirms to customs officials that your foreign exchange transactions are handled by an RBI-approved bank.
  • Foreign Exchange Tracking: The AD Code helps track all foreign exchange transactions related to your import and export activities. This ensures you follow FEMA and RBI rules.
  • Government Benefits: Having a valid AD Code is key to getting various export incentives and schemes from the government. These include GST refunds, duty drawbacks, and other export promotion programs like RoSCTL (Rebate of State and Central Taxes and Levies) and RoDTEP (Remission of Duties and Taxes on Exported Products).
  • Smoother Operations: It makes customs paperwork quicker, ensures transparency, and cuts down on delays in your international trade.

Benefits of AD Code Registration

Registering your AD Code offers many benefits for businesses involved in foreign trade:

  • Faster Customs Clearance: Your goods pass through ports quickly without delays.
  • Regulatory Compliance: It ensures compliance with FEMA (Foreign Exchange Management Act), RBI, and DGFT rules.
  • Access Export Benefits: Makes you eligible for government schemes and support to boost exports.
  • Clear Money Records: Keeps a clear record of foreign currency transactions, reducing the chances of mistakes.
  • Builds Confidence: Shows banks and global partners that your business is trustworthy.
  • Easy Foreign Payments: Makes it easier to send and receive international payments while ensuring clear tracking of foreign exchange inflows and outflows, helping avoid reconciliation errors.
  • Simplifies Export Paperwork: Helps with important documents like shipping bills and export invoices.
  • Better Tracking: Helps regulatory bodies like DGFT and Customs monitor export transactions, ensuring proper audits and compliance with trade rules.
  • Supports Business Growth: Strengthens your image when expanding to new markets.
  • Faster Banking: Banks process your payments faster, improving cash flow.
  • Needed for Refund Claims: Required when applying for export duty or GST refunds to avoid delays.

Certain Conditions Required to Register AD Code

To successfully register an AD Code, specific conditions must be met:

  • Your business must have an Import Export Code (IEC) from the DGFT.
  • You must hold a current account with a bank approved by the RBI for foreign exchange.
  • The AD Code must be issued by the bank where you hold your current account. This code helps the Customs Department track your foreign currency transactions.
  • The AD Code then needs registration with Customs through the ICEGATE portal.

Who Can Apply for AD Code Registration?

Any individual or legal entity involved in international trade and foreign exchange transactions needs to apply for AD Code registration. Specifically, the following can apply:

  • Importers and exporters holding a valid Import Export Code (IEC).
  • Companies with a current account in an RBI-approved bank for foreign exchange.
  • Businesses that regularly receive or make payments in foreign currency.
  • Firms involved in export, import, or both need smooth customs clearance for their shipments at any port or Inland Container Depot (ICD).
  • Traders who want to access government export benefits and schemes.

If your business deals with cross-border trade or foreign currency, applying for AD Code registration is essential to stay compliant and ensure faster processing of transactions.

Documents Required for AD Code Registration

To register your AD Code, you will generally need these documents:

  • AD Code Letter: The original AD Code letter from your bank on their letterhead. This letter confirms their AD Code and your account details.
  • Import-Export Code (IEC) Certificate: A copy of your IEC.
  • PAN Card: A copy of your company's PAN card or the proprietor's PAN card.
  • GST Registration Certificate: If your business is registered for GST, provide a copy.
  • Bank Account Proof: A cancelled cheque from your business's current account.
  • Company's Letterhead: A request letter to the bank, written on your company's letterhead.
  • Board Resolution: For companies, a board resolution approving the AD Code application.
  • Identity and Address Proof: For the authorized person/directors/partners (like Aadhaar Card, Passport, Voter ID).
  • Class 3 DSC: A Digital Signature Certificate is needed for submitting information online on the ICEGATE portal.
  • Proof of Business Address: Sometimes, documents like a utility bill (electricity, phone) or a rent/lease agreement for your business location might be requested.
  • Export House Certificate/Manufacturing License (if applicable): If your business has special recognition (like an Export House) or is a manufacturer, relevant certificates might be needed.

Important Things to Remember for Documents:

  • Self-Attestation: Most documents for ad code registration at customs need to be self-attested by the authorized person and often stamped with your company's seal.
  • Clear Scans: When you're doing ICEGATE AD Code registration online, make sure all scanned documents are very clear, easy to read, and meet the required file size and type (usually PDF).

How to Register AD Code in India?

The AD Code registration process typically has two main parts: getting the AD Code from your bank, then registering it with Customs using the ICEGATE portal.

Part 1: Getting AD Code from your Bank

  1. Open a Current Account: Make sure you have a current account with an RBI-authorized bank that handles foreign exchange.
  2. Write a Request Letter: Prepare a formal request letter on your company's letterhead for your bank manager. Ask for an AD Code for your IEC. Clearly state the port(s) where you plan to register the AD Code.
  3. Submit Documents to Bank: Give the request letter and all needed documents (IEC, PAN, GST, cancelled cheque, etc.) to your bank. Many banks now let you submit these online through their trade services.
  4. Bank Issues AD Code: After checking your details, the bank will give you a 14-digit AD Code on their official letterhead.

Part 2: Registering AD Code with Customs (ICEGATE Portal)

  1. Go to the ICEGATE Portal: Visit the official ICEGATE website (icegate.gov.in).
  2. Log In with IEC Details: Sign in using your IEC credentials. If you don't have an account, you will need to register first using your Class 3 Digital Signature Certificate, preferably in the name of the IEC holder (Proprietor/Director/Authorized Signatory).
  3. Find AD Code Registration: Look for "Bank Account Management" or "AD Code Registration" in the services area.
  4. Enter AD Code Information: Type in the AD Code details exactly as your bank provided them.
  5. Upload Documents: Upload scanned copies of the required documents. This includes the AD Code letter from your bank, IEC, PAN, and GST certificate. Make sure the documents are clear and easy to read.
  6. Submit Application: Send your application. You might get a One-Time Password (OTP) for verification.
  7. Approval: Once a customs officer approves it, your AD Code will be linked to your IEC for the chosen port.

Note on "AD Code Registration process": In the past, you had to register the AD Code at each port separately. Now, it's simpler. Once an AD Code is registered against an IEC at any port, you can use it for filing documents at all other Customs locations. However, any changes or updates to that specific AD Code must be made at the original port of registration.

AD Code Registration Fees

The AD Code registration fee, mandatory for exporting goods from India, is usually Rs. 2,999 as a one-time payment. There is no official government fee charged by the Customs Department for AD Code registration on the ICEGATE portal.

If you are using the help of an agent or service provider, professional charges may apply separately.

ICEGATE Portal Application Timeline & Validity

Once your documents are submitted correctly, the AD Code is usually registered on ICEGATE within 2–3 working days.

The AD Code itself does not expire. However, if you change your bank or port, you will need to re-register the AD Code for the new port through ICEGATE.

List of Ports / ICD for AD Code Registration

While the AD Code itself stays the same, it needs to be linked or registered with the specific port(s) where you plan to export or import goods. India has many seaports, airports, and Inland Container Depots (ICDs) where AD Code registration is essential. Key ports/ICDs include:

  • Mumbai (JNPT, Sahar ACC)
  • Chennai (Chennai Port, Chennai ACC)
  • Kolkata (Kolkata Port, Kolkata ACC)
  • Delhi (Delhi ACC, Patparganj ICD, Tughlakabad ICD)
  • Bengaluru (Bengaluru ACC, Whitefield ICD)
  • Ahmedabad (Ahmedabad ACC)
  • Hyderabad (Hyderabad ACC, Sanathnagar ICD)
  • Cochin (Cochin Port, Cochin ACC)
  • Vizag (Visakhapatnam Port)
  • Paradeep (Paradeep Port)
  • Mundra (Mundra Port)
  • Pipavav (Pipavav Port)
  • Kandla (Kandla Port)

AD Code Registration Certificate

After your AD Code is registered on the ICEGATE portal, you will receive an AD Code Registration Certificate. This certificate shows that your AD Code is active and linked to the port you use for export or import.

What the Certificate Includes:

  • Name and address of your business
  • Import Export Code
  • 14-digit AD Code number
  • Name of the bank that issued the code
  • Name of the port or Inland Container Depot (ICD)
  • Date of registration

This certificate is mandatory when you file shipping bills, claim duty refunds, or submit export paperwork. You may also need to show it to your customs agent, bank, or logistics provider.

How to Download AD Code Registration Certificate?

You can easily download your AD Code certificate from the ICEGATE portal by following these steps:

  1. Visit the ICEGATE Portal icegate.gov.in
  2. Log in using your ICEGATE user ID and password
  3. Go to the “Bank Account Management” section
  4. Select the port and the specific AD Code
  5. Click on “View” or “Download Certificate”.

Make sure you save a copy in both digital and print formats, as it may be required by customs officials, banks, or freight agents.

Tip: If login credentials are not available, first register on the ICEGATE portal using your IEC and GSTIN.

How to Check the AD Code Registration Status?

To track the status of your AD Code registration:

  1. Visit the ICEGATE Portal.
  2. Log in using your credentials.
  3. Go to the “Bank Account Management” tab.
  4. Choose the IEC and the port where you submitted the AD Code.
  5. You’ll see the status listed next to your AD Code; it may be Approved, Pending, or Rejected.

If the status shows as Pending, double-check whether all your documents were submitted correctly. Sometimes delays happen due to missing details or verification by Customs. You can also contact your bank or customs officer for updates.

Connect with RegisterKaro and let our experts handle the legal hassle while you grow your business.
