IEC (Import Export Code) is a 10-digit business identification number issued by the Directorate General of Foreign Trade (DGFT) that is mandatory for most import and export transactions from India. 5. Public Limited Companies

Trusts, usually formed for charitable or religious purposes, can obtain IEC if they are engaged in import-export activities. They need to submit the trust deed, PAN card, and address proof as part of their application.

7. Societies

Societies registered under the Societies Registration Act can also apply for IEC. Required documents include the society registration certificate, PAN card, and proof of address. This allows non-profit organizations involved in trade to operate legally in import-export.

8. Hindu Undivided Families (HUFs)

HUFs can register for IEC in the name of the family business. They are required to provide the PAN of the HUF and address proof. This enables family-owned businesses to conduct import-export operations legally.

Why and When You Need an IEC in India?

  • For Customs Clearance: This code is mandatory when your goods arrive at a port.   • To receive or send foreign payments, you need an IEC whenever you conduct an international transaction. Banks will ask for it to process payments to your overseas suppliers or credit payments received in foreign currency from your international buyers.
  • To claim export benefits, a valid IEC is required at the time of application to avail of any government incentives, subsidies, or tax benefits under the Foreign Trade Policy. Without it, you are ineligible for these financial advantages.
  • To Stay Compliant: Possessing an IEC is necessary to be recognized as a legitimate, compliant trader by the Directorate General of Foreign Trade (DGFT) and other regulatory bodies, which enhances the credibility of your business globally.

When is the IEC Code Not Required in India?

While an IEC is mandatory for most import and export activities, the Foreign Trade Policy provides a few specific exemptions. You do not need an IEC in the following cases:

  • Personal-use imports or exports: Goods imported or exported for personal use, not connected with trade, manufacture, or agriculture.
  • Government bodies: Import or export by Ministries or Departments of the Central Government or notified State Governments.
  • Notified charitable/non-commercial purposes: Certain charitable, religious, or educational institutions notified by the DGFT, for goods imported for non-commercial purposes.

Important clarification: There is a common misconception that businesses registered under GST don't need an IEC because "PAN works as the IEC." This is misleading. Following DGFT reforms, the IEC is now PAN-based. Your IEC is linked to your PAN rather than being a separate, unrelated number, but you must still apply for and obtain the IEC from the DGFT before importing or exporting. GST registration does not remove this requirement.

How to Apply for IEC Registration in India?

DGFT conducts the IEC registration procedure through its online portal by following the below steps:

  • Visit the DGFT website and register as a new user by providing your mobile number and email ID.
  • Log in to your account and select “Apply for IEC” from the services menu.
  • Complete the IEC application form (ANF-2A) with accurate business and contact details.
  • Upload all the required supporting documents as specified in the guidelines.
  • Pay the IEC Registration fee of  Rs. 500 (non-refundable) through the secure online payment gateway.

Step 3: Post-Submission Verification

Once you’ve submitted your application, the DGFT will verify your details. If there are any discrepancies, you may be contacted for clarification.

Step 4: Registration Certificate

After your application is approved:

  • IEC will be generated instantly in most cases.
  • You can download your digital IEC certificate from the DGFT portal.
  • Verify all details on the certificate are correct.
  • Keep both digital and printed copies for your records.
  • You can immediately start using your Import Export Code (IEC) for trade activities.

What to Do After Getting Your IEC: Next Steps for Exporters

An IEC is essential, but it alone doesn't allow you to clear shipments or claim export benefits. Complete the following steps after the IEC gets issued to become fully export-ready:

1. Register Your AD Code

An Authorised Dealer (AD) Code is a 14-digit number issued by the bank where you hold your business current account. You must register for AD Code at each port or airport you ship from, after which it is linked to the customs system (ICEGATE).

Without an AD Code registered at the relevant port, customs will not generate your Shipping Bill, so your goods cannot be exported.

2. Register on ICEGATE

ICEGATE (Indian Customs Electronic Gateway) is the customs department's e-filing portal. Registering on ICEGATE lets you file Shipping Bills and Bills of Entry, track shipments, and receive customs notices electronically. It works hand-in-hand with your AD Code to enable smooth customs clearance.

3. Obtain an RCMC to Claim Export Benefits

A Registration-cum-Membership Certificate (RCMC) is issued by the relevant Export Promotion Council (EPC) for your product category. While the IEC authorizes you to trade, the RCMC registration lets you actually access Foreign Trade Policy benefits such as RoDTEP, RoSCTL, and various export incentives and concessions.

Validity of IEC Code in India

An IEC number is valid for the lifetime of the entity. There is no need for renewal. However, as per a recent mandate, all IEC holders must update their details electronically every year between April and June on the DGFT portal. If an IEC is not updated within the prescribed time, it will be deactivated.

If a business stops its import or export operations, it may choose to surrender its IEC. The surrender process involves notifying the DGFT about the discontinuation of trade activities. This allows the DGFT to update its records and deactivate the IEC accordingly.
