General Documents Required to Start a Sole Proprietorship

Every proprietor must first arrange a basic set of identity and address proofs before starting the Sole Proprietorship Registration. These core proprietorship documents support every further registration you apply for. Keep the following documents ready before you visit any bank or government portal:

  • PAN Card of the proprietor, since the owner’s personal PAN acts as the business PAN.
  • Aadhaar Card linked with an active mobile number for quick OTP verification.
  • Passport-size photograph of the proprietor in digital JPEG or PNG format, typically under 100 KB.
  • Active email ID and mobile number for registration updates, OTP verification, and official communication.
  • Business address proof, such as a recent electricity bill, rent agreement, or property tax receipt.

If the proprietor does not already hold a PAN, they must apply for one.

Documents Required for Opening a Current Account for a Sole Proprietorship

To open a current account for a sole proprietorship, the proprietor must first provide proof that the business exists in the firm’s name. A current account separates business and personal finances, which simplifies accounting and strengthens business credibility with vendors and clients.

  • PAN card of the proprietor
  • Aadhaar card or any other government-issued photo ID (Voter ID, Passport, Driving License)

Proof of the firm’s existence (any one or two of the following):

The Reserve Bank of India’s Master Direction on Know Your Customer (KYC) requires banks to verify the existence of the firm. Another option is GST registration, which is also free and usually completes within 7-10 working days

Documents for MSME / Udyam Registration for Sole Proprietorship

Every proprietor can complete Udyam or MSME Registration on the Udyam portal (udyamregistration.gov.in). Registration stays optional, but it provides access to collateral-free loans, subsidies, and priority access in government tenders.

You should keep the following document or details ready:

  • Aadhaar number of the proprietor, linked with an active mobile number for OTP.
  • PAN card of the proprietor for automatic income tax data verification.
  • GSTIN of the firm, when your business already holds GST registration.

Documents for Import Export Code (IEC) for Sole Proprietorship

IEC Registration is required for sole proprietorships involved in importing or exporting goods or services. It is issued by the Directorate General of Foreign Trade (DGFT) and is valid for a lifetime. Keep the following documents ready before applying for IEC registration:

  • PAN card of the proprietor.
  • Aadhaar card, voter ID, or passport for identity verification.
  • Bank account details, including a canceled cheque or bank certificate showing the account number and IFSC code in the proprietor’s or firm’s name.

  • Proof of registered address of the business, like a utility bill, rent agreement, or GST registration certificate.

The IEC is linked to the PAN of the proprietor. Once issued, it applies to all import and export transactions under the proprietorship firm, regardless of the goods or services category.

Note: Although the IEC itself does not expire, DGFT requires mandatory annual updation between April and June every year, even when no business details have changed. If the proprietor fails to update the IEC within this period, DGFT automatically deactivates it, which blocks customs clearances until the code is reactivated.

Documents for Trademark Registration for Sole Proprietorship

Trademark Registration protects the business name, logo, or tagline from being used by competitors. A registered trademark gives the proprietor exclusive rights to use the mark in their business category. The application is filed with the Trade Marks Registry through the IP India portal (ipindia.gov.in) or through a registered agent. Required documents include:

  •  PAN card of the proprietor
  • Aadhaar card or proof of identity
  • Address proof of the proprietor
  • Clear image of the trademark (logo, wordmark, or label) in prescribed format
  • Power of attorney (Form TM-48) if filing through a trademark agent or attorney
  • Udyam Registration Certificate (to avail the 50% fee concession available to MSMEs). The trademark fee for individuals and MSMEs is ₹4,500 per class; for others, it is ₹9,000 per class.
  • User affidavit with proof of prior use, such as invoices, advertisements, or promotional material, if you claim the mark was in use before the application date.

The trademark application is filed in the relevant trademark class under the Nice Classification. A sole proprietor typically files in the class covering the goods or services their business operates in.

Documents Required for ESIC Registration for a Sole Proprietorship

Employees’ State Insurance Corporation is mandatory for businesses with 10 or more employees earning up to ₹21,000 per month or ₹25,000 per month for persons with disabilities. ESIC Registration provides employees with medical, disability, and maternity benefits. The proprietor must register on the ESIC portal at esic.gov.in.

  • PAN card of the proprietor.
  • Aadhaar card of the proprietor.
  • Business address proof, like an electricity bill, a rent agreement, or a GST certificate.
  • Bank details, such as a canceled cheque or a bank statement.
  • List of employees with their names, Aadhaar numbers, dates of birth, and wages
  • Employee bank account details.
  • Shop and Establishment license or GST certificate as proof of the firm’s existence.

ESIC registration is completed online. The proprietor receives an employer code number (17-digit code) after registration, which is used for monthly contributions and employee benefit claims.

Note: The proprietor must deposit ESIC contributions by the 15th of every following month. The employer contributes 3.25% of gross wages, while the employee contributes 0.75% of gross wages.

Documents Required for Employees’ Provident Fund Registration for a Sole Proprietorship

The EPF Registration is mandatory for establishments employing 20 or more persons. Mandatory coverage generally applies to employees earning up to ₹15,000 per month, although businesses commonly opt for voluntary coverage above this salary limit as well. Voluntary PF registration is also available for businesses with fewer employees.

The proprietor must register on the EPFO employer portal at unifiedportal-emp.epfindia.gov.in within 30 days of reaching the 20-employee threshold.

  • PAN card of the proprietor.
  • Aadhaar card of the proprietor.
  • Business registration proof, including GST Registration Certificate, Shops and Establishment license, or Udyam certificate.
  • Bank account details, including a canceled cheque in the business name.
  • Proof of the business address, like an electricity bill or a rent agreement.
  • Digital Signature Certificate (DSC) of the proprietor for online submission.
  • Details of employees, including names, Aadhaar numbers, dates of joining, and salary information.

After successful registration, EPFO issues a PF code number to the employer. The proprietor must file monthly returns and deposit employer and employee contributions by the 15th of every following month.

Note: The standard PF contribution rate is 12% each from the employer and the employee on wages up to ₹15,000 per month, with voluntary higher coverage also available.
